Your file, line by line
The validator catches common format and calculation errors using EPFO's published ECR format and the EPF and EPS schemes; the rules are listed further down this page. It cannot see EPFO's records, so it cannot tell whether a UAN is linked to your establishment, whether a member is over 58, or whether the name matches the UAN record. The EPFO portal does its own checks when you upload and is the final word.

How to use the ECR validator
- Pick the wage month. It sets the wage ceiling (₹15,000 up to August 2026, ₹25,000 from October 2026, both for September 2026) and the number of days for NCP days.
- Pick the contribution rate. 12% for most establishments, or 10% if that is the rate you choose when uploading on the EPFO portal.
- Select your ECR .txt file, or drag it onto the box. No file to hand? Press “Try the sample” to see how the results look.
- Read the summary. Members, wage and contribution totals, and the number of errors and warnings.
- Fix the errors, then review the warnings. Each finding gives the line, the column, the value found, what was expected and how to fix it. Download the CSV report to work through them, correct the file and check it again.
The ECR 2.0 file format in brief
The ECR (Electronic Challan cum Return) is a plain text file with one line per member and no header line. Each line has 11 fields separated by #~#, all amounts in whole rupees with no decimals or commas:

Rules we check
An ERROR means the line breaks a rule in EPFO’s own documents. A WARNING means something is unusual or a rule we could not confirm in EPFO’s documentation. Some EPFO links below are archived copies, because the original PDFs on epfindia.gov.in no longer open.

September 2026: one ECR, two wage ceilings
The wage ceiling rose from ₹15,000 to ₹25,000 on 17 September 2026, in the middle of a wage month. EPFO’s FAQs on the revised ceiling say September is filed in a single ECR, with wages and contributions worked out separately for the two periods and added together:
- 1 to 16 September: contributions on wages up to the old ₹15,000 ceiling, in proportion to the days.
- 17 to 30 September: contributions on wages up to the new ₹25,000 ceiling, in proportion to the days.
For example, EPFO’s illustration for an existing member on ₹20,000 whose PF was restricted to the ceiling shows EPF and EPS wages of about ₹17,333 for September (₹15,000 × 16/30 + ₹20,000 × 14/30). A member who was in EPF but not in EPS joins EPS from 17 September, so their September EPS wages cover only the second period.

Frequently asked questions
Is my ECR file uploaded or stored anywhere?
No. The validator reads the file inside your browser and checks it there. It is not uploaded to HivePayroll or anyone else, and it is not saved in your browser. The CSV report and the sample file are also created on your computer. When you close the tab or press Clear, the data is gone.
What is the format of the EPFO ECR text file?
ECR 2.0 is a plain text file with one line per member and no header. Each line has 11 fields separated by #~#: UAN, member name, gross wages, EPF wages, EPS wages, EDLI wages, EPF contribution (employee share), EPS contribution, EPF-EPS difference (employer share), NCP days and refund of advances. All amounts are whole rupees with no decimals or commas.
How is the ER share in the ECR calculated?
The employer pays 12% of EPF wages. Of that, 8.33% of EPS wages goes to the pension fund as the EPS contribution, and the rest is the EPF-EPS difference, the ER share. So the ER share is 12% of EPF wages minus the EPS contribution, each rounded to the nearest rupee. If the employee pays exactly 12%, it equals the employee share minus the EPS contribution. For a member not in EPS, the EPS contribution is 0 and the ER share is the full 12%.
Can EPF wages be more than the wage ceiling in the ECR?
Yes, if your establishment pays PF on full wages rather than restricting it to the ceiling. EPS and EDLI wages still stop at the ceiling, ₹25,000 from 17 September 2026. The validator shows EPF wages above the ceiling as a warning so you can confirm it is intended.
How should EPS and EDLI wages be filled in for September 2026?
EPFO’s FAQs on the revised ceiling ask for a single September ECR, with wages for 1 to 16 September counted up to ₹15,000 and wages for 17 to 30 September up to ₹25,000, in proportion to the days. The validator accepts EPS and EDLI wages up to ₹25,000 for September; check each member’s split against EPFO’s illustration.
If the validator finds no errors, will EPFO accept my file?
Not necessarily. The validator catches common format and calculation errors, but it cannot see EPFO’s records: whether each UAN is linked to your establishment, whether a member has exited, is over 58 or has an approved higher pension. The EPFO portal runs those checks when you upload and has the final word.
