Expenses, reimbursements and staff loans · HivePayroll
Claims, loans and advances kept against the payroll that pays them.
Most Indian SMBs run reimbursements and staff loans somewhere other than payroll: a WhatsApp photo of a bill, a spreadsheet of who owes what, an approval given verbally and remembered differently by both people.

The money that is not salary, but still comes out of payroll
Informal tracking works until it does not:
A claim paid twice
A loan installment that stopped being deducted
An advance nobody recovered from a leaver
Expense claims and reimbursements
- The employee raises a claim from their own space with the bill attached. Each claim carries the date, a category, the invoice number, the vendor, the amount and the employee’s own note.
- The approver sees it in a queue and adds their note.
- The claim moves to payment.
What the system keeps track of, and what spreadsheets usually lose, is the difference between four numbers:
Amount claimed
What the employee asked for.
Amount reimbursable
After policy is applied.
Amount actually paid
What reached the employee.
Balance
Still outstanding.
Loans and salary advances
Staff loans are where informal tracking hurts most, because the error compounds silently every month.

That means three questions always have an answer: what does this employee still owe, how many installments are left, and what happens if they leave next month.
The leaver case
Flexible benefits and LTA
Flexible benefits
Where you run a flexible benefit plan, employees make their own selections and those choices flow into the tax computation rather than being applied by hand at year end.
Leave travel allowance
LTA claims are made and evidenced by the employee.
It all lands in one payroll run
Applied with salary
Approved reimbursements, loan installments and advance recoveries are applied in the payroll run alongside salary, so one payment reaches the employee.
Payroll journal
Carries the entry for your books, so one set of numbers reaches your accounts.
Bank advice file
Carries the payment.
Frequently asked questions
Can employees submit their own expense claims?
Yes, from their own space, with the bill attached. Claims go to an approval queue rather than an inbox, and each keeps its own history.
Can I approve a claim for less than was requested?
Yes. A claim tracks the amount claimed, the amount reimbursable, the amount paid and the balance separately, so a partial approval stays visible rather than being lost in a single figure.
Does HivePayroll handle staff loans with interest?
Yes. Each loan has a repayment schedule showing, per installment, the due date, opening balance, principal and interest, and repayments record the amount, interest, balance, mode and payment date.
Are loan installments deducted automatically in payroll?
Loan repayments are handled alongside the payroll they are recovered in, so the deduction and the outstanding balance stay in step rather than being tracked separately.
What happens to an outstanding loan when someone leaves?
The balance sits against the employee in the same system that produces the full and final settlement, so it is visible while the settlement is being prepared.
Do reimbursements affect tax?
Flexible benefits and LTA feed into the employee’s tax computation directly, which is the main reason to keep them in payroll rather than in a separate expense tool.
